The Payroll Manager is responsible for overseeing and managing all aspects of payroll processing across multiple locations. This role ensures accurate and timely payroll execution, compliance with federal, state, and local regulations, and alignment with company policies. The Payroll Manager will lead the payroll team, manage payroll systems, and collaborate cross-functionally with HR, Finance, and Operations to ensure seamless payroll processes.

A Day In The Life Of

  • Payroll Processing & Compliance

- Manage end-to-end payroll processing for employees on a bi-weekly schedule and doctors on a monthly schedule.

- Ensure payroll is accurate, timely, and compliant with applicable laws (federal, state, local, and multi-state if applicable).

- Oversee wage and hour compliance, including overtime, garnishments, and benefits deductions.

- Prepare and file all payroll-related tax reports, W-2s, 1099s, and year-end filings and complete audits.

- Partner with HR to ensure payroll data aligns with employee records, benefit elections, and timekeeping systems.

 

  • Systems & Process Management

- Administer payroll software/system (e.g., ADP, Paycom, UKG, Ceridian, or similar).

- Identify opportunities to improve payroll processes through automation and system enhancements.

- Maintain payroll system data integrity, security, and controls

 

  • Leadership & Team Development

 

- Supervise, train, and mentor payroll staff to ensure accuracy and professional growth.

- Develop team performance metrics and ensure high levels of service delivery.

- Collaborate with HR and Finance leadership on strategic initiatives impacting payroll.

 

  • Financial & Reporting

- Reconcile payroll accounts and ensure accurate GL postings in collaboration with Finance.

- Prepare payroll reports for leadership, including accruals, overtime trends, and compliance audits.

- Partner with Finance on budgeting, forecasting, and cost analysis related to payroll and labor expenses.

 

  • Employee Support

- Serve as the subject matter expert and primary escalation point for payroll-related inquiries.

- Ensure excellent employee experience by addressing payroll questions with clarity and timeliness.

- Maintain confidentiality and data security at all times.

What You'll Bring To The Table

  • Bachelor's degree in Accounting, Finance, Human Resources, or related field required.
  • 5-7 years of payroll experience, with at least 3 years in a leadership role managing payroll for 500+ employees required.
  • Strong knowledge of multi-state payroll, wage and hour laws, and payroll tax compliance.
  • Experience with payroll/HRIS systems (ADP, UKG, Paycom, or equivalent).
  • Exceptional attention to detail and accuracy.
  • Strong leadership and team management skills.
  • Ability to analyze payroll data, identify variances, and resolve discrepancies.
  • Strong communication and interpersonal skills, with the ability to collaborate across departments.
  • High degree of integrity, confidentiality, and professionalism.
